Plain-language summary: ClientsHub does not sell personal data. A company controls the lead and client information its users place in that company’s workspace. ClientsHub uses account and service data to provide, secure, support, and improve the platform.
1. Scope and privacy roles
This policy applies to the ClientsHub marketing website, application, company administration pages, affiliate directory, and related tracking links and support communications (together, the “Service”). ClientsHub is operated from Yaoundé, Cameroon, with service correspondence handled through CM Cloud Hosting.
When ClientsHub is the controller
ClientsHub determines how account registration, subscription, security, support, affiliate-directory, and website data are used. For these activities, ClientsHub acts as the data controller or equivalent responsible organization.
When a customer company is the controller
Customer companies decide which prospects, clients, team members, services, campaigns, notes, and bonus records to place in their workspaces. For that customer-provided CRM data, the customer company is the controller and ClientsHub processes the data to provide the Service. Questions about a record entered by a company should normally be sent to that company first.

Please do not place sensitive personal data in free-text notes unless it is necessary, lawful, authorized by the relevant company, and protected appropriately.
3. Why and how we use data
Depending on the context and applicable law, processing is based on performance of a contract, steps requested before a contract, legitimate interests in running and securing a business service, compliance with legal obligations, or consent where consent is required.
- create accounts, authenticate users, and enforce company and project permissions;
- provide CRM, outreach, campaign, renewal, affiliate, and bonus features;
- calculate service-level values and rewards from information entered by authorized users;
- operate public company affiliate listings and process affiliate applications;
- secure the Service, prevent abuse, diagnose errors, and maintain auditability;
- respond to support, sales, legal, and privacy requests;
- administer plans, invoices, subscriptions, and legal obligations; and
- improve usability and reliability using aggregated or de-identified information where practical.
ClientsHub does not make decisions that produce legal or similarly significant effects solely through automated processing. Bonus figures and health labels support human business decisions and should be reviewed by authorized company users.
5. Retention and deletion
We retain data for as long as needed to provide and secure the Service, satisfy the customer’s documented instructions, resolve disputes, and meet legal, tax, accounting, and audit requirements. The period depends on the type of record, whether an account or subscription remains active, the customer’s settings and requests, and applicable law.
After a valid deletion or account-closure request, data is deleted or de-identified within a commercially reasonable period unless retention is required or permitted by law. Residual encrypted backups and security logs may remain for a limited backup rotation period and are not restored for ordinary use.
6. Security and international processing
ClientsHub uses role-based access, project membership checks, authentication tokens, transport security, restricted administrative access, security headers, backups, and operational monitoring. No online service can guarantee absolute security; users must protect their credentials, devices, exports, and invitations.
Service providers may process data from locations outside the user’s country. Where cross-border safeguards are required, we use contractual, organizational, and technical measures appropriate to the transfer and applicable law.
7. Your choices and rights
Subject to applicable law, you may ask to access, correct, complete, delete, restrict, or receive a portable copy of personal data about you, or object to certain processing. You may withdraw consent where processing relies on consent. You may also object to direct marketing at any time.
We may ask for information needed to verify identity and authority. Rights concerning CRM data controlled by a customer company may be referred to that company, and ClientsHub will assist as required by contract and law. You may also complain to the competent data-protection authority or seek another remedy available under applicable law.
The Service is intended for business users aged 18 or older and is not directed to children.
8. Contact and policy changes
Send privacy or data-rights requests to [email protected] with the subject “ClientsHub privacy request.” Service correspondence is handled from Yaoundé, Cameroon.
We may update this policy when the Service, providers, or legal requirements change. Material changes will be announced through the Service or another reasonable channel, and the effective date above will be updated.
